Cancellation Policy
Overview
Florida Aesthetics & Wellness is committed to providing exceptional service to our valued patients. To ensure we can accommodate all our clients and minimize disruption to our schedule, we have established a clear cancellation and rescheduling policy. We ask for your cooperation in giving us adequate notice when you need to change your appointment.
Key Requirement: 24-Hour Notice
We require 24 hours' notice for all appointment cancellations or changes. This notice must be provided before your scheduled appointment time.
Cancellation Fees
The following cancellation and no-show fees apply:

What This Means
Timely Cancellations (24+ Hours Notice)
If you cancel or reschedule your appointment with at least 24 hours' notice, there is no charge. You are welcome to rebook your appointment at your convenience without any financial penalty.
Late Cancellations (Less Than 24 Hours Notice)
If you cancel your appointment with less than 24 hours' notice, a $50 cancellation fee will be charged to your account. This fee reflects our cost of reserving time for your appointment.
No-Shows (Missed Appointments)
If you do not show up for your scheduled appointment and do not cancel, a $75 no-show fee will be charged, or the full service fee for the scheduled appointment, whichever is less. No-shows represent lost revenue and can impact other patients' ability to schedule appointments.
Exceptions to Cancellation Fees
We understand that emergencies happen. The following situations are exempt from cancellation fees:
- Medical Emergencies: Serious illness, injury, or hospitalization that prevents you from attending
- Family Emergencies: Death in the family, family crisis, or other unavoidable personal emergency
- Documented Illness: Contagious illness (cold, flu, COVID-19, etc.) that could endanger our staff or other clients
- Our Cancellation: If we must cancel your appointment due to provider illness, facility issues, or other circumstances on our end
Important: To receive an exception, you must notify us as soon as possible and provide reasonable documentation if requested. We appreciate your honesty and understand life's uncertainties.

To ensure your cancellation is processed, please confirm receipt of your cancellation request. If you cancel by email or phone, we will send you a confirmation message.
Deposits and Package Services
Deposits
Certain treatments require a deposit to secure your appointment, including:
- Hormone Replacement Therapy (HRT)
- CoolSculpting and similar body contouring treatments
- Laser treatment packages and series
- Other specialized treatment packages as determined by our providers
Deposits are applied toward the cost of your service. If you must cancel an appointment for which you have paid a deposit, the deposit will be applied to a rescheduled appointment or refunded minus the applicable cancellation fee.
Treatment Packages and Series
If you have purchased a treatment package or series (such as a laser series, chemical peel package, or wellness series):
- Each appointment scheduled within the package counts as one "used" session
- If you miss a scheduled session without cancelling 24+ hours in advance, that session counts as used and will not be refunded
- If you cancel 24+ hours in advance, you may reschedule that session at no penalty
- Unused sessions remain valid for the period specified in your package agreement
- Packages and series are non-transferable unless otherwise agreed in writing
Gift Cards and Special Offers
Gift cards and promotional appointments are subject to the same cancellation policy as regular appointments. If you have received a gift card or promotional credit:
- Cancellation fees apply to cancellations with less than 24 hours' notice
- Cancellation fees may be deducted from your gift card balance or promotional credit
- Cancellation fees do not extend the expiration date of your gift card
Chronic Late Arrivals and Frequent Cancellations
While we are flexible and understanding, we reserve the right to:
- Require prepayment for appointments if you have a pattern of late cancellations or no-shows
- Require credit card authorization to hold appointments
- Decline future appointments from patients with a consistent pattern of cancellations or no-shows without valid reasons
We value your business and want to ensure fairness to all our patients. If you are experiencing scheduling difficulties, please speak with our staff about options that might work better for you.
Communication During Service
Once you are in treatment, if you change your mind about proceeding, you may cancel the service and a cancellation fee will not apply. However, if we have already begun the treatment, you will be responsible for payment of the service rendered.
Rescheduling
Rescheduling an appointment is different from cancelling:
- Rescheduling 24+ hours in advance: No fee. You can reschedule to another date at no charge.
- Rescheduling less than 24 hours in advance: A $50 late cancellation/rescheduling fee may apply, depending on circumstances and availability.
We will work with you to find a convenient time for your rescheduled appointment based on provider availability.
Refund Policy Related to Cancellations
If you have prepaid for services:
- Cancellations with 24+ hours' notice: Full refund or rescheduling at no cost
- Late cancellations: $50 cancellation fee will be deducted from your prepayment; remaining balance may be refunded or credited
- No-shows: $75 no-show fee or full service fee (whichever is less) will be deducted; remaining balance may be refunded or credited
- Refunds are processed within 5-7 business days

Policy Acknowledgment
All patients are required to acknowledge receipt and understanding of this cancellation policy at the time of their first appointment. By scheduling an appointment with Florida Aesthetics & Wellness, you agree to abide by this policy.
